Privacy notice

What we collect through this website, why we collect it, and the rights you have over it.

Who we are

PhynAct Ltd (“PhynAct”, “we”, “us”) is the controller of personal information collected through www.phynact.com. We are registered in England and Wales under company number 17555021, with our registered office at 4th Floor Office, 205 Regent Street, London, W1B 4HB, United Kingdom.

For any question about this notice or your personal information, use our privacy request form, or write to us at our registered office.

What we collect and why

When you contact us. If you use the contact form or email us, we receive your name, work email, institution, role (if you give it) and your message. We use this only to reply to you and to follow up on your enquiry. Our lawful basis is our legitimate interest in responding to people who contact us about our business. If your enquiry leads to a contract, we keep the correspondence as part of that relationship.

When you visit the website. Like any website, our hosting provider processes technical data needed to deliver pages to you, such as your IP address, browser type, the pages requested and the time of the request. We also use our hosting provider’s analytics service to count page views and see which pages are used. It does not use cookies, does not identify you across websites, and reports to us only in aggregate. Our lawful basis is our legitimate interest in running a secure, working website and understanding how it is used.

We do not sell personal information, use it for advertising, or make decisions about you by automated means.

Cookies

This website does not set cookies or use similar technologies to store information on your device. If that changes, we will update this notice and ask for your consent where the law requires it.

Who we share it with

We use a small number of service providers who process personal information on our behalf, under contracts that require them to protect it:

  • Website hosting and analytics provider, which serves the website and counts page views.
  • Email delivery provider, which sends contact-form messages to our inbox.
  • Email and office software provider, which stores the messages you send us.

We may also disclose personal information if the law requires it, or to professional advisers and, in the event of a sale or reorganisation of our business, to its buyer.

International transfers

Some of these providers are based in, or process data in, the United States. Where personal information leaves the UK, we rely on the UK–US data bridge for certified companies, or on the UK International Data Transfer Addendum to the European Commission’s standard contractual clauses, so that it stays protected to the standard UK law requires.

How long we keep it

  • Enquiries that do not lead to a business relationship: up to two years after our last contact, then deleted.
  • Correspondence with clients and prospects in active discussion: for as long as the relationship lasts, and up to six years after it ends, so we can meet legal and accounting obligations.
  • Hosting and security logs: kept by our hosting provider for a short period, normally no more than 30 days.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • have inaccurate information corrected;
  • have your information deleted, or its use restricted;
  • object to our using it on the basis of legitimate interests;
  • receive information you gave us in a portable format.

To use any of these rights, send us a privacy request or write to us at our registered office. We will reply within one month, and may ask you to confirm your identity first. There is no charge.

If you are unhappy with how we have handled your information, please tell us first so we can try to put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Security

The website is served only over encrypted connections, and we limit access to the information you send us to the people who need it to respond.
